Description

Job Description:

  • Perform basic accounting/bookkeeping duties for department, including management of federal and non-federal grants
  • Create financial reports and track expenditures using a financial database/software and/or Excel
  • Collect, process and reconcile invoices, departmental billings, employee reimbursements, vendor statements; reconcile accounts, generate financial reports; maintain all vendor records and their files
  • Assist other financial staff in the department, as needed
  • Perform basic to moderate administrative or clerical duties including, but no limited to, answer phones, great visitors, schedule appointments, file paperwork, type letters and process incoming/outgoing mail
  • Coordinate daily tasks and prioritize activities/projects for office; supervise student employees; complete domestic and foreign travel arrangements/documents; purchase and order equipment
  • Create and maintain paper and electronic student and faculty records/files; keeps records/files up-to-date and in order; process new hire and contract paperwork
  • Perform data entry tasks and create reports; record departmental meeting minutes; maintain department calendar; maintain department inventory
  • Coordinate all departmental activities (i.e. meetings, retreats, conferences, career fair, etc.); create presentations using PowerPoint; provide prompt, courteous and knowledgeable assistance in internal and external customers
  • Follow up and correspond with students/faculy/administrators on all inquires or policy updates; ensure all faculty , staff and student employees timesheets are submitted to payroll in a timely manner
  • Qualifications

    Minimal Qualifications:

  • B.S. in Accounting/Business, MBA,MPA,MPPA preferred
  • Ability to keep routine financial records and to prepare routine financial reports; working knowledge of basic accounting principles; basic mathematical skills.
  • A minimum of three (3) years of financial experience, 5 years preferred
  • Ability to work well with others (administrators, faculty, staff and students)
  • Working knowledge of computers and programs; specifically, Microsoft (Word and Excel) and Banner (software)
  • Excellent communication skills, verbal and written; ability to create effective and efficient working relationships at all levels
  • Proficient in Microsoft Word, Access and Excel; 50+ WPM, Typing/Keystrokes
  • Experience operating office equipment, such as, copiers, scanners, and fax machines
  • Able to maintain focus and attention to detail with frequent interruptions to workflow
  • Basic knowledge of accounting and financial principles, including account reconciliation
  • Must be able to prioritize work load and respond appropriately to change;
  • Ability to effectively manage competing priorities, perform with minimal supervision and make decisions independently; ability to produce accurate and timely work
